Outline of Role and Responsibilities



A. To review and participate in the improvement of the tender response process at the product line and multiproduct line levels.

B. To implement and manage the tender response process at the product line and multiproduct line levels.







Primary Roles


· In setting the tender response process:

1. Capture the current process

2. Participate in the review and expansion of the present standard and propose a procedure to apply cross product line or multiproduct line tenders

3. Contribute to the creation of a new enhanced tender preparation checklist with adequate internal control points

· In managing the tender response process:

1. Receive and Log all tenders

2. Coordinate with relevant “experts”, teams and parties the allocation of tasks and deadlines for deliverables

3. Fill and distribute the tender checklist

4. Dispatch with the tender preparation checklist a copy of the tender to the relevant parties for their review and processing

5. Organize Kickoff meeting and consolidate decisions and actions

6. Build a frame response document as per client requirements

7. Follow up on requested information from various parties

8. Collate and consolidate all responses under agreed format

9. Ensure Tender Responses are Proof read.

10. Organize intermediary meeting and peer review and capture all relevant comments

11. Produce a quality final Tender with the assistance of the assigned tender administrator

12. Maintain by product line or sub product line an up to date point of contact on

· In improving the tender response process efficiency:

1. Create a central library of all tenders (single sub product line – cross sub product lines & multi product lines) whether lost or won for the product line

2. Ensure that all tenders filled in the library starting 2009 comprise a summary sheet capturing lessons learned and client debrief if available

3. Create a library for a generic or repetitively requested information by client





Experience/Skills Required




1. Very good knowledge of the business product lines activity, working and organizing

2. Previous experience with tenders acquired through professional experience in sales of services or services delivery (operations) or contract management

3. Excellent communication and interpersonal skills

4. A project manager driver

5. Computer literate (MSWord– MSExcel – MSAccess – Web – MSProject…etc)
